Terms and Conditions for Explore 2026

Students and Young Professionals signing up for SYP Explore, together with their Sponsors/Guardians, are required to read and fully understand these Terms and Conditions before making any payment toward registration or participation fees.

1. Programme Operator and Fees

My international study tour is operated by Prep and Pave LBG (also referred to as “Prep and Pave”) and its partners for me and other students. Payment of the non-refundable registration fee of GHC 2,000.00 constitutes my consent to these Terms and Conditions and the general information contained herein.

I agree to pay an additional USD 3,500.00, or its Ghana Cedis equivalent at an exchange rate of USD 1.00 to GHC 12.00, as the total cost of my selected trip. Should the exchange rate exceed this stated rate before the last day of the trip, I agree to pay the difference. All refunds shall be made using the same exchange rate at which payments were made.

2. Nature of the Programme

This trip is specifically designed for students, as reflected in the pricing, educational content, accommodation arrangements, and other aspects of the programme.

3. Duration of the Trip

My trip shall begin at takeoff from Prep and Pave LBG’s designated international airport and shall end upon completion of the return flight to Prep and Pave LBG’s designated international airport.

4. Travel Documents

It is my responsibility to secure all required travel documents, including passport and visa(s), unless otherwise arranged by Prep and Pave LBG for the group. Failure to obtain the necessary documents does not constitute grounds for a refund, except as provided under the standard cancellation guidelines.

5. Transportation and Travel Arrangements

Prep and Pave shall provide complete ticketing information to participants at least ten (10) days prior to departure. Trip packages normally include air tickets or other transportation arrangements.

In exceptional cases where Prep and Pave does not arrange transportation, I must submit my personally procured ticket for approval before joining the trip. Students shall travel in groups. Permission must be granted by Prep and Pave for any participant who chooses not to use group transportation. Any additional costs arising from personal travel arrangements shall be borne solely by me.

The programme shall commence at the designated location and time stated in the itinerary without waiting for late arrivals. I am responsible for meeting the Tour Director at the first accommodation location.

Prep and Pave shall not be liable for damages arising from airline schedule changes, mechanical issues, weather conditions, or capacity-related delays. All expenses incurred during such delays shall be my responsibility. Failure to comply with transportation arrangements or refusal to seek approval may result in removal from the trip without refund.

Prep and Pave shall not be liable for lost travel documents, airline tickets, luggage, or personal belongings.

6. Force Majeure and Third Parties

I agree to release and hold harmless Prep and Pave, my school, and professional organizations from liability arising from cancellation, modification, or delay due to acts of God, war, terrorism, public health emergencies, governmental restrictions, severe weather, currency fluctuations, or other uncontrollable events.

I acknowledge that Prep and Pave does not own or operate all third-party service providers but shall ensure that penalties are enforced where services fail to be delivered.

7. Non-Supervised Activities

Prep and Pave assumes no responsibility when I am absent from supervised activities or participate in activities not organized or supervised by Prep and Pave.

8. Right of Refusal

Prep and Pave reserves the right to refuse or cancel my registration at its sole discretion, in which case I shall receive a full refund of fees paid.

9. Changes to Itinerary and Transportation

Prep and Pave reserves the right to alter itineraries, departure dates, transportation arrangements, or substitute airlines. Withdrawal due to such changes does not entitle me to a refund.

10. Trip Directors and Coordinators

Prep and Pave may change Trip Directors or Faculty Advisors. Withdrawal due to such changes does not qualify for a refund.

11. Conduct and Compliance

I agree to comply with all Prep and Pave regulations and directions issued by Trip Directors and Faculty Advisors. Violations may result in immediate removal from the trip at my own expense without refund.

12. Laws, Drugs, and Alcohol

I shall comply with all local laws, including those governing drugs and alcohol. Alcohol consumption requires written sponsor/guardian approval and must adhere strictly to programme rules. Any violation may result in removal without refund.

13. Health and Medical Emergencies

Prep and Pave may take any action deemed necessary for my health and safety, including medical treatment or repatriation at my expense. Prep and Pave may contact my parent or guardian regarding health or safety matters.

14. Payments, Cancellations, and Refunds

All trip fees must be paid by stipulated deadlines. Prices may be adjusted due to supplier surcharges. Refunds shall be processed according to the following schedule:

  • 14 days to departure: No refund

  • 21 days to departure: 50% refund

  • 40 days to departure: 70% refund

  • 41–60 days to departure: USD 2,800.00 refund

  • 61 days and above: USD 3,100.00 refund

No refunds shall be granted for disciplinary removal. Refunds shall be processed within 20 days after the final day of the trip.

15. Trip Director Authority

I acknowledge the authority of the assigned Trip Director. If a Trip Director is replaced, Prep and Pave will assign another. Standard cancellation policies apply if I withdraw due to such changes.

16. Accommodation and Rooming

Accommodation is based on same-gender rooming. Special room requests must be approved in advance and may attract additional costs. Curfews shall be strictly enforced. I shall bear costs for damages or personal expenses incurred.

17. Identification and Dress Code

Students must wear Prep and Pave identification tags throughout the trip. Replacement of lost tags will attract additional fees. Appropriate dressing is mandatory.

18. Discipline and Removal

Prep and Pave reserves the right to remove participants for misconduct, including harassment, abuse, discrimination, or inappropriate behavior. Removed participants must surrender all trip materials and are not entitled to refunds.

19. Additional Rules

These Terms are supplementary to laws of the Republic of Ghana, the destination country, and Prep and Pave regulations. Additional rules may be issued at any time.

20. Data and Media Use

Prep and Pave reserves the right to collect and use photographs, videos, and data for promotional and educational purposes without further consent. All materials remain the exclusive property of Prep and Pave.

21. Entire Agreement

This document constitutes the entire agreement between Prep and Pave and myself. Amendments must be in writing and signed by both parties.

22. Dispute Resolution

Disputes shall be resolved amicably. Failing resolution within sixty (60) days, disputes shall be settled by arbitration in Accra, Ghana, under the Alternative Dispute Resolution Act 2010 of Ghana.

23. Declaration

I confirm that I have read, understood, and accepted these Terms and Conditions and agree to abide by the Code of Conduct. I certify that all information provided is truthful and accurate. Any falsification or impersonation shall result in disqualification and possible legal action.
